Terms of Service

SkoolBook is operated by Ayva Technologies, a partnership firm registered in Hyderabad, Telangana, India.

These Terms govern use of SkoolBook. Your school agrees to them when it licenses the platform; you agree to them when you use an account your school has given you.

1. The service

SkoolBook is a school management platform for K-12 schools. Depending on the modules your school has enabled, it covers admissions, fee records and invoicing, attendance, the grade book, homework, timetables, transport with live GPS tracking, hostel, library, health records and in-app announcements, together with a parent and student mobile app.

Modules are enabled per school. Nothing here entitles you to a module your school has not licensed.

2. Who the customer is, and who owns the data

Our contract is with the school. If you are a parent, student or member of staff, you use SkoolBook because your school gave you access, and your school decides what data is held about a child and who can see it.

Data entered into SkoolBook belongs to the school. We process it on the school's instructions to provide the service. We do not sell it, and we do not use it to train models for other customers. Requests to see, correct or delete a child's records should go to the school, which can ask us.

This is the clause that matters most, and it is stated the same way in our Privacy Policy.

3. Children's data

SkoolBook exists to hold information about children, and the school is responsible for deciding what is collected and for obtaining any consent the law requires from a parent or guardian.

Parent accounts see only their own children. Staff accounts are scoped to their role. Attempting to reach records outside your role — including by editing URLs — is a breach of these Terms.

4. Accounts

Accounts are created by the school. Keep your credentials confidential; you are responsible for activity under your account. Tell your school immediately if you believe someone else has accessed it.

5. Fees and term

Licensing runs by academic year and is priced per student. Implementation and annual maintenance are quoted separately. The figures and payment terms are in your school's quote and agreement, not on this website.

SkoolBook does not collect school fees. It records fee structures, invoices and settlements, but no money passes through the platform and there is no payment gateway.

6. Communication

Announcements and notifications are delivered inside the portal and through the mobile app. SkoolBook does not send SMS or WhatsApp messages. Where a school needs those, it uses its own provider.

7. Acceptable use

You agree not to: misrepresent your identity; upload content you do not have the right to use; attempt to breach, probe or overload the platform; use automated means to access it outside documented APIs; resell access without our written consent; or use the platform to harass any person.

Staff additionally agree not to export student data outside the school's own policies.

8. Availability and support

We aim to keep SkoolBook available and to give reasonable notice of planned maintenance. Any specific availability or response commitment is what is written in your school's agreement — this website does not publish one, and no figure stated anywhere on it forms part of these Terms.

9. Intellectual property

The platform, including its software and branding, belongs to Ayva Technologies or its licensors. Your school retains ownership of the content it and its users upload, and grants us a limited licence to process it solely to provide the service.

10. Disclaimers and liability

The platform is provided “as is” without warranties of any kind. To the maximum extent permitted by law, our aggregate liability for any claim is limited to the amount the school paid us in the three months preceding the claim. We are not liable for indirect or consequential losses. Nothing here limits liability that cannot be limited by law.

11. Termination and what happens to the data

Either party may end the agreement as set out in it. We may suspend access that breaches these Terms.

On termination the school may request an export of its data in a usable format. Retention and deletion after that follow the agreement — ask us and we will confirm the timeframe in writing.

12. Changes

We may update these Terms. Material changes will be notified to the school. The date at the top reflects the current version.

13. Governing law

These Terms are governed by the laws of India. Courts at Hyderabad, Telangana have exclusive jurisdiction.
